Coaching Permits – Important Information

July 14, 2025 Filed Under: All disciplines, ASBK, Coaches, Dirt Track, Enduro, Minikhana, Motocross, News, Newsletters, Reliability, Road Racing, SA Junior Cup, SA Women in Motorcycling, SAMX Championship, SAORC, Speedway, State Championship, Supermoto, Trials

Coaching Permits – Important Information

Motorcycling South Australia have been receiving a number of queries surrounding the process required for running coaching sessions. Additionally, we will be implementing some clear timelines surrounding the requesting of permits, and the processing of endorsements to help us streamline the process and to allow us sufficient time for administration.

Please review all information carefully so that you are fully aware of a coach’s obligations.

PERMITS

Private or Commercial Coaches: All coaching activities must be conducted under a Coaching Permit. It is the coaches’ responsibility to apply for the permit and submit all required paperwork to MSA in the stipulated timeframes. From 15 July 2025, commercial coaches will need to pay for coaching permits upfront.

Club Coaches: Coaching activities through clubs can be conducted under a Coaching Permit, but can also be run under Club Training Days,  Recreational Activity or RPA days. Clubs are responsible to apply for the permits and submit all required paperwork to MSA in the stipulated timeframes. Where any coaching activity is not run under a dedicated coaching permit (eg RPA), sessions must be run separately, away from any other activity. PLEASE NOTE: The ability to run coaching sessions at recreational rides is currently under review and may change in the near future.

TIME FRAMES

Permits: An application for a coaching permit MUST be submitted at least 7 days prior to the event. Any applications submitted within 7 days will incur an urgency fee of $55. Any applications submitted within 48 hours of the planned event may not be approved.

Reports: All reports must be submitted electronically to MSA within 5 working days, with the exception of the injury reports which must be submitted within 24 hours after the event (or the next business day). Failure to provide these reports within the required timeframes will incur a late fee of $200. Failure to provide these reports within 30 days will result in the temporary suspension of permits being issued until the required reports have been correctly submitted.

Cancellations: For private or commercial coaches, if you wish to cancel a coaching event, this MUST be communicated to MSA in writing at least 24 hours prior to the event. Any events cancelled with less than 24 hours’ notice will still incur a permit fee.

Failure to pay any of the above mentioned fees will result in the suspension of permits being issued.

REPORTS & ENDORSEMENTS

Following the coaching event, sign in sheets and event reports must be submitted to MSA correctly. No endorsement will be approved if the coaches’ paperwork hasn’t been correctly received.

All endorsements MUST be recorded on the appropriate log book. Kick-start books or coaching books must be used for every rider that is seeking and endorsment. The coach must fill out the book(s) correctly so that the riders can upload the relevant pages to their RiderNet profile. Only then will their endorsement be approved. Failure to fill out the details correctly will result in the endorsement being denied.

OTHER REQUIREMENTS

All Coaches must:

  • hold a current MA licence with the appropriate coaching accreditation;
  • hold a valid Working with Children Check for South Australia;
  • hold a valid first aid certificate (in the case where the Coach will be riding, a second first aider that is not riding must be present).

Any club or coach found to be hosting events without a permit or using an incorrect permit will be charged a fee of $1,000. In addition, any club or coach found to be in breach of any rules after investigation will be charged a fee of $500.

For a full list of requirements please read the MA National Coaching Guidelines. Please ensure you are familiar with these guidelines to ensure all processes are being followed correctly. More resources can be found here.

Please feel free to contact MSA for more information.
